Inxmail provides several interfaces, including SOAP, REST, Java, and .NET APIs. These interfaces connect the email marketing platform to CRM solutions, data warehouses, and external automation. The greatest value comes from defining clearly which system is responsible for each category of data.
CRM and email platforms can be connected in two fundamental ways.
In a real-time integration, registrations, unsubscriptions, and changes are transferred immediately between the systems. Users see current information, and automated processes can react without delay.
The implementation is more demanding, however. Legal requirements need to be represented, concurrent changes must be resolved, and failures must be logged completely. The participating systems also become more dependent on each other's availability.
In an asynchronous integration, the CRM remains the system of record. Relevant recipient data is synchronized with Inxmail at regular intervals. This pattern is technically simpler and creates greater separation between the systems.
Before every mailing, however, the organization must ensure that unsubscriptions have already been synchronized. Triggered mailings should also be initiated by the system of record so that the business state remains unambiguous.
There are also different approaches to recipient selection.
The system of record prepares a complete recipient list for each campaign and transfers it to Inxmail before delivery. This suits ad hoc campaigns and reduces the amount of selection data stored permanently. The list must, however, be rebuilt and maintained for every campaign.
Alternatively, the attributes required for selection are synchronized with Inxmail. Filters defined in the platform assign recipients automatically to dynamic lists or target groups. This is efficient for recurring campaigns, but every relevant attribute needs to remain current.
The heureka Integration Service (hIS) can manage data exchange, reporting, and conflict handling. The concept is not limited to Inxmail; other email services such as Salesforce Marketing Cloud can be connected as well.
In addition to master data, the integration can transfer metadata such as registrations, unsubscriptions, bounces, clicks, and opens. Responses from email marketing therefore become available in the CRM or analytical systems.
A double-opt-in workflow frequently spans both systems. The CRM knows the contact and the relevant business context, while Inxmail manages the confirmation message and distribution list. The integration must transfer the status completely and traceably between both sides.
An integrated preference center can combine additional preferences from the CRM with subscriptions held in Inxmail. Each data field should again have exactly one designated system of record.
Opens, clicks, bounces, and campaign results become more valuable when they are combined with sales, customer, or product data. Transferring them to a data warehouse enables analysis beyond individual mailings and establishes a shared basis for marketing and sales.
External systems can use the Inxmail interfaces to create and trigger mailings and add individual attachments. Triggers may originate in a CRM, online shop, or line-of-business application. The delivery platform handles sending and tracking while the source system retains the business logic.
Inxmail integrations range from simple list imports to bidirectional real-time architectures. A robust solution begins not with the API but with data ownership: Which information is authoritative, which events must be processed immediately, and which evidence must be retained? Once those questions are answered, the appropriate integration pattern can be selected.
